What can my virtual assistant help with?

Our virtual assistants can help in a variety of ways! Some of the areas of expertise are admin, concierge, customer support, marketing and social media, bookkeeping and more. In addition, we have experts in web and graphic design and other fields that may be chosen to help or be your assistant.

Is my virtual assistant an AI or Bot?

No, you get a real dedicated person responding to your tasks. We have advanced software in place so that we can help you as best as possible, but your assistant actually carries out all tasks.

How does matching work? How long does it take?

Once we receive your preferences, we cross reference across our assistants to provide you the best virtual assistant possible. This isn’t a long process, though it typically takes about a day due to our algorithms and processes.

How quickly do the virtual assistants respond?

We pride ourselves in quality and convenience. The average response time is around 10 minutes, way lower than the industry standard! It may take longer depending on the time or day. If you have a request that is urgent, you can mark it as such and our systems will work to notify them as soon as possible.

How do I give my virtual assistant a task?

You can text them, email them or just add it to the Trello board! Whatever is easiest for you, you’ll be provided a phone number and email address to text or contact them.

Where is my assistant going to be located?

Your primary virtual assistant will be located in the United States at a Parrotforce facility or at their home. Your secondary assistant will either be in the United States or Europe.

How does the 24/7 assistance work? Does my virtual assistant not sleep?

We offer 24/7 assistant services and we mean it! Your primary virtual assistant works according to your preferred hours and days, and your secondary assistant works to fill the gaps. They work together to make sure you get the help you need whenever you need it! Your primary assistant may not be available on major holidays.

Can I give them a company email address and other access?

Absolutely! We want your virtual assistant to be a part of your team, you can give them an email address or other accounts to be able to help you best.

How do I communicate with my virtual assistant?

Which ever way works best for you! We have setup multiple communication paths so you can naturally contact your virtual assistant. You can text them, email them or call them, you’ll be routed automatically!

What if I don't want to use Trello or SMS?

You can use whatever you prefer to communicate with your assistant and manage tasks. We really like Trello, but would be glad to use whatever you prefer. You can use Skype, Slack or another platform to communicate as well.

What is Trello? How do I add recurring tasks?

Trello is a project management application that we utilize to keep track of all your requests. You’ll be setup with a personalized Trello board where you can add requests yourself or see requests that your virtual assistant has added. You can check the status of the request, add files and leave comments. As well, you can set recurring tasks easily.

How do orders that my virtual assistant places work? When do I pay?

You can ask your virtual assistant to order you products or food. We’ll pay for the order on your behalf. Once we confirm the price we’ll send you an invoice for the amount plus any processing fees so it can be paid securely without sharing any of your information. If you’d like to pay for an order personally, we can attempt to arrange that.

Does my virtual assistant know how to use _________ software?

Our virtual assistants have a wide variety of skills and experience. We will try to match you with the assistant with the closest skill set to your preferences and help you train them to utilize whatever software you need.

Are the virtual assistants trained?

Our virtual assistants are trained to be generalists, they are great at being an all around helper to any task you throw at them! They have experience with major productivity platforms and software. Depending on your preferences, they may also have certain skills that fit your specific needs. However, you will have to train them to fit your business and personal procedures and lifestyle. We recommended having a written plan for how you want tasks executed.

I'm traveling, will it work internationally?

Absolutely. You will have full access wherever you go to the phone number and apps. However, in some areas it may be harder to fulfill requests if it is not an English-native country.

Managing Your Account

How is time tracked?

Your virtual assistant will keep track of time using a timer built into our platform. Any time spend responding to your requests will be taken into account. You can view how many hours are left on the account portal.

How do I manage my account?

You can log on to the portal at portal.parrotforce.com to view your hours and change your subscription and billing settings.

How do I pay?

Once you’ve decided on your plan we’ll setup your account and send you a link to setup payment. You can add your credit card, Paypal or something else. You’ll be charged every month on the same day.

Are your plans flexible?

You can change your plans whenever you want as many times as you want, upgrade or downgrade as you wish. Your changes will be reflected in the next billing cycle.

Can I change my virtual assistant?

We want to ensure you have the best experience possible, if you’d like to be assigned a new assistant we’ll check your requirements and match you with a new one.

Is there a long-term commitment?

Our plans are month-to-month unless you opt for a yearly plan, cancel anytime.

Is my information safe?

We take every measure to ensure your information is safe and private. Our assistants sign an NDA along with receiving extensive privacy training. Furthermore, we utilize leading cloud services to securely store any documents you share.

Can I share passwords and access?

Our assistants go through extreme vetting and background checks. We recommend creating a working relationship with your assistant before sharing any credentials. We also recommend using a secure credential sharing service instead of sending anything in plain text. Ask your assistant about this.
